Privacy Policy

This Privacy Policy explains what data Hexo ("the bot", "we", "our") collects, how it is used, and how you can request its deletion. By adding Hexo to your Discord server or using its commands, you agree to this policy.

1. What data we collect

Hexo collects and stores the following data solely to provide its features:

Discord user IDs — to associate data such as XP, warnings, strikes, birthdays, and family relationships with the correct user
Discord guild (server) IDs — to store per-server settings such as welcome channel, AutoMod config, leveling config, and punishment records
User-generated content — reasons attached to warnings, strikes, or bans entered by moderators; birthday dates set by users; marriage/family relationships created by users
Invite usage data — which invite code was used when a member joins, to power the invite tracking feature
Moderation history — records of warnings, strikes, bans, kicks, mutes, and jails issued within a server
XP and leveling data — message-based XP totals and levels per user per server

2. What we do NOT collect

Usernames, avatars, email addresses, or any profile data beyond Discord IDs
Message content — messages are read in memory to execute commands and run AutoMod but are never written to disk or stored in any database
Voice activity or presence data
Payment or financial information

3. How data is used

All collected data is used exclusively to provide Hexo's features. It is never sold, rented, or shared with third parties. It is not used to train machine learning or AI models.

4. Data storage and security

Data is stored in JSON files on servers hosted by Railway (railway.app). Railway encrypts storage volumes at rest and in transit. Data is retained indefinitely unless a deletion request is made.

5. Data deletion

You can request deletion of your data at any time:

Server data — removing Hexo from your server does not automatically delete stored data. To request full deletion, contact us using the methods below.
Personal data — any user may request deletion of their personal data (XP, warns, birthday, family relationships, etc.) by contacting us.

6. Third-party services

Hexo uses the following third-party services:

Discord — the platform Hexo operates on. Discord's own Privacy Policy applies to all Discord usage.
Railway — used to host the bot and web dashboard. Railway's Privacy Policy applies to hosting infrastructure.

7. Children's privacy

Hexo does not knowingly collect data from users under the age of 13. Discord's own Terms of Service require users to be at least 13 years old.

8. Changes to this policy

We may update this Privacy Policy from time to time. Changes will be reflected by the "Last updated" date at the top of this page. Continued use of Hexo after changes are posted constitutes acceptance of the updated policy.
